ALUMNS is committed to protecting your privacy. This Privacy Policy explains how ALUMNS collects, uses, stores, shares, and protects personal data and media content on the ALUMNS platform. In this document, “ALUMNS”, “we”, “us”, and “our” refer to the ALUMNS alumni networking platform and related services operated by Aitreya Tech Solutions Pvt Ltd. This policy applies to everyone who uses ALUMNS websites, applications, or other digital services.

ALUMNS expects all users to comply with applicable law, including the Indian Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021 (as amended).

1. Data Privacy Policy

ALUMNS collects and processes personal data in compliance with applicable data protection laws, including the Digital Personal Data Protection Act, 2023, and other relevant legislation. ALUMNS may also be required to share information with courts of competent jurisdiction or other lawful authorities when applicable law requires it.

1.1. Information ALUMNS Collects

• Personal Identifiers: Name, address, email, phone number
• Account Data: Username, passwords (hashed), usage preferences
• Technical Data: IP addresses, browser type, device data
• Behavioral Data: Site usage, activity logs, preferences

1.2. Purpose of Data Collection

ALUMNS uses personal data to:

• Deliver and maintain ALUMNS services
• Provide customer support and communicate with users
• Personalize the ALUMNS experience
• Meet legal obligations and detect or prevent fraud
• Detect and prevent unlawful activity related to user data and platform use

1.3. Data Storage and Retention

ALUMNS retains personal data only for as long as necessary to fulfil the purposes described above and as required by law.

1.4. Data Security

ALUMNS is committed to the security, integrity, and confidentiality of personal data. ALUMNS maintains a multi-layered security framework designed to protect data against unauthorized access, misuse, alteration, loss, or disclosure.

Key measures include, but are not limited to:

• Data encryption: ALUMNS encrypts data at rest and in transit using industry-standard protocols (including BCRYPT, AES-256, and TLS 1.2 or better).
• Monitoring and auditing: ALUMNS performs continuous monitoring and regular security audits to detect anomalies, assess vulnerabilities, and maintain compliance.
• Data minimization and segmentation: ALUMNS limits stored data to what is necessary and can segregate sensitive data through dedicated portals for activity monitoring.
• Incident response and recovery: ALUMNS maintains an incident response plan to address data breaches or security incidents, including investigation, containment, notification, and recovery.

1.5. Account and Data Deletion

ALUMNS gives you control over your personal data. You may download a copy of your information or delete your ALUMNS account at any time from within the app.

Where to manage your account

1. Sign in to ALUMNS.
2. Open Profile from the main navigation.
3. Select the Account section (described in the app as “Export data & delete account”).

Export your information (optional)

Before deleting your account, you may use Create export on the Account page to download a JSON copy of selected data. You can choose one or more categories, including:

• Profile information (name, email, bio, address, social links)
• Education (qualifications, institutes, schools)
• Professional (employment history, companies, roles)
• Resumes (uploaded resume links and names)
• Skills & training
• Connections (requests and accepted connections)
• Login history
• Posts (feed posts, comments, and likes)
• Memories (forum posts)
• Chat messages (one-on-one conversations)
• Events (created and attended)
• Jobs (posted and applications)

For history-based categories (connections, posts, memories, chat, events, and jobs), you may export all time or limit the export to a from–to date range. ALUMNS verifies export requests with your account password (for email-and-password accounts) and a one-time code (OTP) sent to your registered email. If you signed up with Google, OTP verification alone is used.

How to delete your account

On the Account page, select Delete my account. ALUMNS uses a secure, multi-step process to confirm that the request comes from you:

1. Confirm intent: Review the warning that account deletion cannot be undone, then proceed.
2. Verify identity (step 1): Enter your account password. For Google sign-in accounts, you may proceed without a password. ALUMNS sends a 6-digit OTP to your registered email address.
3. Verify identity (step 2): Enter your password (if applicable) and the OTP from your email, then confirm deletion.

What happens when you delete your account

• Your account is deactivated immediately. You are signed out and cannot sign in again while deletion is in progress.
• Active login sessions and refresh tokens are revoked.
• Your profile and associated personal data are scheduled for permanent removal after 30 days. After that period, ALUMNS permanently deletes your user account record from our systems.
• Deletion is not recoverable once you complete the confirmation steps. ALUMNS does not provide a self-service option to restore a deleted account during the 30-day period.

Data we may retain

ALUMNS may retain certain information where required by applicable law, for fraud prevention, dispute resolution, enforcement of our terms, or compliance with legal obligations (for example, records we must keep for regulatory or security purposes). Anonymized or aggregated data that cannot reasonably identify you may also be retained.

2. Media Privacy Policy

ALUMNS respects your right to control personal media, including images, videos, and audio files that you upload or share on the platform. By uploading media or other content, you remain responsible for that content. Uploaded material must not violate others’ privacy or lawful rights. Users are responsible for unlawful activity, and any breach may result in legal consequences.

2.1. Media Handling Practices

• ALUMNS stores media securely with access controls.
• ALUMNS may remove metadata to help protect privacy.
• ALUMNS does not currently use facial recognition or biometric data.

2.2. Consent for Media Use

ALUMNS requires explicit user consent before using personal media for marketing, training, or promotional purposes. By creating an ALUMNS account and agreeing to this policy, you consent to media and content use as described in Section 1.2.

3. Data and Media Sharing Policy

ALUMNS does not sell or rent your personal data or media. ALUMNS shares data only under the following conditions:

3.1. Third-Party Services

ALUMNS may share limited data with third-party vendors strictly to operate the platform (for example, cloud hosting or payment gateways), under binding agreements that require data protection compliance.

3.2. Legal Requirements

ALUMNS may disclose personal data when required by law, court order, or a governmental authority in India, in accordance with applicable legal procedures.

3.3. User Consent

ALUMNS shares data or media with external parties only after obtaining informed consent from the user, except where the law requires otherwise.

4. Prohibition on Sharing Copyrighted Materials

Users must not upload, share, or distribute content on ALUMNS unless they own it or have explicit legal rights to share it.

4.1. Copyright Infringement

• Users must not upload copyrighted material without permission.
• Violations may result in account termination and legal action by ALUMNS or rights holders.

4.2. Copyright Claims and Takedown

ALUMNS responds promptly to valid copyright infringement notices under applicable law.

5. Objectionable Data Sharing Prohibition

5.1. Prohibited Content

Users must not share, post, or transmit data or media on ALUMNS that includes:

• Hate speech, violence, or threats
• Obscene or sexually explicit material
• Harassment, bullying, or discrimination
• Content promoting illegal activities

Violations may lead to immediate suspension or termination of ALUMNS access and may be reported to relevant authorities. Such activity violates ALUMNS policy, and the user may be held legally responsible.

5.2. Reporting posts and users

If you see a post or account on ALUMNS that may violate these rules, use the Report option on the post’s top-right menu. You may report either the post itself or the account of the member who published it. Reports are confidential: the reported person is not told who submitted the report.

• You must be signed in to ALUMNS to submit a report.
• You cannot report your own posts or your own account.
• You may submit at most one report per post and one report per member account.
• You should select an accurate reason; misuse of reporting may lead to action on your account.
• ALUMNS stores reports securely for moderation review and notifies the ALUMNS moderation team by email. ALUMNS may remove content, warn users, or suspend accounts where appropriate.
• ALUMNS provides dedicated in-app report options for child safety and CSAE. See Section 6.5 — How to report CSAE in the app for step-by-step instructions and which reason to select.

Reporting does not guarantee removal of content. For urgent safety concerns, contact local authorities and admin@aitreyatech.com. For any concern involving a minor or CSAE, follow Section 6.5 or Section 6 — Child Safety Standards.

6. Child Safety Standards

ALUMNS is an alumni networking platform intended for adults. ALUMNS maintains a zero-tolerance policy toward child sexual abuse and exploitation (CSAE), grooming, and any conduct that puts minors at risk. These standards apply to all users of ALUMNS websites, mobile applications, and related services.

6.1. Age eligibility

• ALUMNS is not directed at children and is not designed for use by anyone under 18 years of age.
• Users must be at least 18 years old to create an ALUMNS account, as stated in the ALUMNS Terms and Conditions.
• ALUMNS does not knowingly collect, solicit, or retain personal information from anyone under 18.
• If ALUMNS learns that a user is under 18, ALUMNS will promptly disable the account and delete associated personal data where applicable.

6.2. Prohibited conduct involving minors

Users must not use ALUMNS to engage in, promote, request, or facilitate any of the following:

• Child sexual abuse material (CSAM) or any sexual content involving a minor
• Grooming, sexualization, or exploitation of minors
• Soliciting, trafficking, or endangering minors in any form
• Sharing, storing, or transmitting images or information that sexualize or exploit children
• Attempting to contact minors for inappropriate, harmful, or unlawful purposes
• Using ALUMNS to arrange offline contact with minors for harmful purposes
• Any other activity that violates child protection laws, including the Protection of Children from Sexual Offences (POCSO) Act, 2012 (India) and equivalent laws in other jurisdictions

Violations may result in immediate and permanent termination of ALUMNS access, preservation of evidence, and reporting to law enforcement and relevant child-protection authorities without prior notice.

6.3. ALUMNS commitment and enforcement

• ALUMNS prohibits CSAE and related harmful conduct in all user-generated content, profiles, messages, and interactions on the platform.
• Reported content and accounts are reviewed by the ALUMNS moderation team. ALUMNS acts on confirmed violations, including content removal and account suspension or termination.
• ALUMNS cooperates with law enforcement, courts, and recognized child-safety organizations when required or when ALUMNS identifies credible threats to a minor.
• ALUMNS may use automated and manual tools to detect, prevent, and respond to child-safety violations.

6.4. How to report child safety concerns

If you encounter content, behaviour, or an account that may put a child at risk — including child sexual abuse material (CSAM), child sexual abuse and exploitation (CSAE), grooming, or an underage user — report it immediately. Do not use generic reasons such as “Other” or “Sexual or inappropriate content” when a dedicated child safety or CSAE option applies; those dedicated options route your report for urgent review.

• In-app reporting (recommended): Follow the steps in Section 6.5.
• Email: Contact admin@aitreyatech.com with the subject line “Child Safety Report — ALUMNS”. State whether the concern relates to a post or a user account, include the username, post link or screenshot if available, and describe what you saw.
• Emergency: If a child is in immediate danger, contact local emergency services first (for example, dial 112 in India), then notify ALUMNS.

ALUMNS treats all child safety and CSAE reports as high priority. The ALUMNS moderation team is alerted by email with an urgent flag. ALUMNS may restrict accounts or content while an investigation is underway. Where legally required — including under the Protection of Children from Sexual Offences (POCSO) Act, 2012 (India) and equivalent laws — ALUMNS reports CSAM and related offences to appropriate authorities.

6.5. How to report CSAE and child safety issues in the ALUMNS app

Use the in-app Report flow on ALUMNS when you see a post or account that may involve CSAE, CSAM, grooming, endangerment of a minor, or an underage user. Reports are confidential: the reported person is not told who submitted the report.

Step-by-step

1. Sign in to your ALUMNS account (reporting requires you to be logged in).
2. Open the post you are concerned about.
3. Tap the Report option on the post (top-right menu on the post).
4. Choose what you are reporting:
   • This post — if the harmful content is in that specific post (text, image, video, or link).
   • This user's account — if the concern is about the member’s profile, repeated behaviour, grooming, or you believe the account holder is under 18.
5. Select the most specific child safety reason from the list below (these appear at the top of the reason list).
6. Optionally add brief details in the text field to help the ALUMNS moderation team investigate (for example, what happened, when, and why you believe a minor is at risk). Do not share additional copies of illegal imagery.
7. Submit the report. You will see a confirmation when it is received.

Important notes

• If both a specific post and the member’s account are concerning, you may submit one report for the post and one for the account (one report per post and one per account).
• You cannot report your own post or your own account.
• Do not download, forward, or repost CSAM or CSAE content — report it and, if needed, contact law enforcement.
• Misuse of reporting may result in action on your ALUMNS account; false reports do not replace ALUMNS’s obligation to investigate credible child safety reports.

6.6. Information for parents and guardians

If you believe your child under 18 has created an ALUMNS account or has been contacted inappropriately through ALUMNS, please report it using the in-app steps in Section 6.5 (select User appears to be under 18 or Grooming or harmful conduct toward minors as appropriate) or email admin@aitreyatech.com with the subject line “Child Safety Report — ALUMNS”. ALUMNS will investigate and take appropriate action, including account removal where confirmed.

6.7. Legal compliance

ALUMNS’s child safety practices are designed to comply with applicable laws and platform requirements, including Indian child protection and intermediary obligations, and internationally recognized standards for preventing CSAE on user-generated content platforms. ALUMNS updates these standards as laws and industry guidance evolve.

7. Confidential and Security-Sensitive Data Protection

7.1. Governmental and National Security Data

ALUMNS does not allow the sharing, upload, or transmission of data classified as:

• Government-confidential or security-sensitive
• State secrets or diplomatic communications
• Data restricted by national or international regulations

Any attempt to upload or share such data on ALUMNS will be flagged, blocked, and may be reported to competent authorities. Such activity violates ALUMNS policy, and the user may be held legally responsible.

7.2. Cross-Border Data Transfers

ALUMNS conducts cross-border transfers of sensitive or confidential information in compliance with applicable international security laws and treaties. ALUMNS uses adequate safeguards such as Standard Contractual Clauses or approved data transfer mechanisms.

8. Your Rights and Choices

You have the right to:

• Access, correct, or delete your personal data
• Withdraw consent at any time
• Object to certain data uses
• Lodge complaints with a data protection authority

9. Policy Changes

ALUMNS may update this Privacy Policy from time to time. ALUMNS will notify users by email or through a notice on the platform. Continued use of ALUMNS after an update constitutes acceptance of the revised policy.

10. Terms and Conditions

• Introduction: These Terms govern your use of ALUMNS. By using ALUMNS, you agree to these Terms.
• Eligibility: Users must be at least 18 years old and capable of entering a legal contract under Indian law.
• Account registration: Users must provide accurate information and keep login credentials confidential.
• User responsibilities: Users must not post illegal, abusive, explicit sexual acts, exploitation, non-consensual images, defamatory, harmful, or misleading content on ALUMNS; send spam; run scams; manipulate engagement; create fake accounts; post manipulated media; or engage in fraud schemes, terrorism, drugs, human trafficking, child exploitation, or violence.
• User-generated content: Users retain ownership of their content but grant ALUMNS a non-exclusive license to host, display, and distribute it on the platform.
• Content moderation: ALUMNS may remove content or suspend accounts that violate Indian law or ALUMNS policies.
• Intellectual property: ALUMNS software, branding, and design are owned by Aitreya Tech Solutions Pvt Ltd. Users should only post content they own or have permission to use. Copyright violations may result in content removal.
• Cookies: ALUMNS may use cookies to improve user experience, track preferences, and analyze usage.
• Limitation of liability: ALUMNS is not responsible for user-generated content or damages arising from use of the platform, except where applicable law requires otherwise.
• Governing law: These Terms are governed by the laws of India.
